RIVERSIDE CASTLE - TERMS & CONDITIONS

1. Booking & Payment Terms


  • Booking Fee: A non-refundable booking fee of (as per quote) is required to secure your reservation. This fee forms part of your total event cost.
  • Preliminary Payment: 50% of the total estimated cost is due 60 days prior to the function.
  • Final Payment: Full payment, including any additional costs confirmed on the quote, is due 30 days prior to the function.
  • Proof of Payment: All payments must be sent to info@riversidecastle.co.za in PDF format.
  • Non-Payment: Riverside Castle reserves the right to cancel your booking after written notice if payments are not received on time.
  • Quote Validity: All quotes are valid for 7 days. Fees are not displayed in T&Cs; any applicable fee will appear as a line item on your quote. The full fee list can be requested at any time.


2. Venue Capacities & Layout


  • The Chapel: 120 guests (+30 gallery).
  • The Castle: 120 guests with dance floor - Max 150 no dance floor.
  • Garden Palace: 120 guests with dance floor - Max 150 no dance floor.
  • Piazza: 250 guests with dance floor - Max 350 no dance floor.
  • Summer Kitchen: 50 guests with dance floor - Max 80 no dance floor.
  • Fairy Woods: 25 guests seated.
  • Veranda: 12 guests seated.
  • Bougainvillea: 100 guests cinema style, mainly used for conferences.
  • Open Grass Area: Additional toilets/tables/chairs required; smoking and fire activities prohibited.
  • Event Duration: Maximum of 8 hours per venue (excluding setup). End times are midnight; extended hours incur additional fees.


3. Accommodation


  • Room Types: * Chambers Honeymoon Suite: Sleeps 2.
  • Standard Rooms: 2 rooms available, each sleeps 2.


  • Luxury Cottages: 2 cottages available, each sleeps 2.


  • Standard Cottages: 7 cottages available, each sleeps 2.


  • Payment Terms: 100% deposit required at time of booking.
  • Cancellations: Within 30 days of arrival results in full forfeiture of accommodation payment.


4. Suppliers & Outsourced Services


  • Clients must provide a full list of external suppliers 16 days prior to the event.


  • Riverside Castle is not responsible for the quality, performance, or conduct of outside suppliers.


  • Suppliers must comply with Riverside Castle T&Cs and remove equipment by venue cut-off time (00:30).


  • Any damages caused by suppliers will be deducted from the breakage deposit.


5. Décor


  • Included: Tables, runners, centrepieces, linens, and table numbers are provided as part of the event package.


  • External Décor: Any décor not supplied by preferred suppliers may incur a surcharge.


  • Removal: All décor must be removed before the venue cut-off time.


6. Setup & Cut-Off Times


  • Setup: 09:00-17:00 (day of event) unless otherwise arranged.


  • Chapel: Morning 08:00-11:30, Afternoon 13:00-17:00.


  • Venue cut-off: Midnight. Guests must leave by 24:00 to avoid additional charges.


7. Self-Catering


  • Availability: Permitted in the Summer Kitchen, Fairy Woods, Veranda, and Piazza at any time. The Main Reception and Garden Palace may be used for self-catering Sunday to Thursday only.


  • Beverage Policy: Only the Riverside Castle cash bar may be used; violations incur a penalty.


  • Equipment: Clients must supply all necessary cooking equipment for self-catering.


  • Cleaning Fee: Additional cleaning required due to self-catering will be deducted from the breakage deposit.


8. Bar Services


  • A cash bar is included; tab facilities must be arranged 30 days prior.


  • A corkage fee applies for wine and champagne brought onto the premises.


9. Service Fees & Appointments


  • Functions & Sales Coordinator: 3 appointments included.


  • Office Manager: 0 appointments included; after-hours or weekend meetings are charged per appointment.


  • Kitchen & Function Manager / Executive Chef: 1 appointment included.


  • Functions / Operations Supervisor: 1 appointment included.


10. Breakage Deposit


  • A breakage deposit is required (amount on quote).
  • Deductions may be made for damages by clients, guests, or suppliers, and for extra cleaning.
  • Refunded 30 working days after the event if no deductions are necessary.


11. Cancellations (CPA Compliant)



  • General: Must be confirmed in writing via email. Booking fees and deposits are generally non-refundable.


  • Timeframes: * More than 6 months: Refund of Booking Fee only if the venue is successfully rebooked.


  • 3-6 months: Booking Fee non-refundable.


  • Less than 3 months: Booking Fee and deposits are non-refundable; full cancellation invoice may apply.


  • Force Majeure: Riverside Castle may cancel or postpone without liability due to fire, strikes, or government restrictions.


12. Liability & Risk


  • Riverside Castle is not liable for personal property loss, injury, or damages.
  • All damages to property will be billed to the client and deducted from the breakage deposit.


13. General Rules


  • Smoking in designated outdoor areas only.
  • Fireworks are strictly prohibited.
  • Marketing: Riverside Castle may use event photos for promotion.
